Learner Agreement: Professional Hypnotherapy Diploma Course

Introduction

This learner agreement applies to all students who are enrolled on a HypnoTC Professional Hypnotherapy Diploma course.

Students are given a paper copy of this learner agreement to sign at the start of the course.

Given the nature of this policy, from this point onwards, the language used is in the first person.

 

Provision of information

I am satisfied that appropriate information about my course has been available to me prior to enrolment.

 

Age

I confirm that I will be at least 18 years of age at the start of the course.

 

Fitness to practice
  • I confirm and am fit to practice hypnotherapy and participate in the course fully.
  • I confirm that I do not suffer from: psychosis, depression, panic attacks, bi-polar disorder, epilepsy and do not have any significant past physical/ emotional trauma or significant psychological, behavioural or learning differences.
  • I am not fitted with a pacemaker.
  • I do not have severe visual/ auditory impairment.
  • I am not currently experiencing undiagnosed pain.
  • I am not using any substance or medication (legal or illegal) that may impair my concentration or performance in the classroom
  • I have no past/ outstanding/ current criminal issues that will affect my participation on the course.
  • I confirm that I will inform HypnoTC, in person and by email, of any changes to my fitness to practice including any issues (mental, physical or otherwise) that may affect my participation in the course as soon as I become aware of any changes.
  • I understand that, where possible, HypnoTC may offer reasonable adjustments, but that all course participation and assessment criteria must be met in order to be eligible for certification.
 
Consent for hypnosis

I give my consent to particate in practical hypnosis activities and sessions, including solo work, with other students and with teaching staff.

 

Literacy

I understand that the course will be taught in English. I confirm that I have sufficient knowledge of written and spoken English language to fully understand and participate in this course.

 

Course commencement
  • I am enrolling onto this course for its duration.
  • I understand that it is my responsibility to be in good academic and financial standing.
  • I understand that if I am an individual consumer and have applied to the course within 16 days of its commencement, I will only be able to attend when I have completed the 14-day cooling off period provided by the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Alternatively, I may elect to commence the course with the understanding that the cooling-off period concludes when I attend the course. I understand I need to confirm this in writing, prior to attending class.
 
Course fee commitment
  • I understand that I have committed to the cost of the course.
  • I understand that all course fees and payments are non-refundable and non-transferable unless otherwise indicated in writing by tutors.
  • I understand that should my sponsor fail to pay my fees; I will remain liable to pay.
  • I understand that non-payment of course fees, including any outstanding instalments will result in my immediate removal from the course. I agree to pay all outstanding instalments at least 48 hours before each respective course weekend begins.
  • I understand that should I choose to leave the course before the end for any reason, or be removed from the course, the course fee must be still be paid in full and that if I pay by instalments, I can continue to use this facility.
  • I understand I will not be able to enrol onto any further courses until I have paid any amounts owed.
 
Participation commitment
  • I understand that I may not transfer my course place, or any aspect (eg attendance or homework) to any other person.
  • I commit to participating in the course, both during teaching days and in homework and study activities outside of the class setting. I will advise the tutors if I am unable to engage in a specific activity.
 
In-Person and online attendance
  • I agree to attend and participate in all the formal teaching lessons and understand that my attendance will be monitored.
  • I understand that I need to attend in-person on the 10 weekend dates shown on the HypnoTC website.
  • I understand that, by the end of the course, I will need to log 120 teaching hours.
 
Missing attendance
  • I understand that non-attendance of training days will result in the requirement of additional homework tasks as well as 1-to-1 ‘catch-up’ sessions incurring an additional fee of £95 per day missed, per student, and that if I miss over 2 days (10%) of the course, the normal catch-up day fee (£95) is then succeeded by an ‘hourly fee’ of £50. This is in order to make up my hours in line with the UK Core Curriculum.
  • I understand catchup fees must be paid at least 48-hours before the catch-up session.
  • If my course notes need to be posted, there is a £15 fee (£25 for outside of UK).
  • I also understand that catch-up sessions are mandatory regardless of the reason for absence, this includes Covid-related absences.
  • I understand that catch-up fees are costed on an individual basis, and are non-negotiable, regardless of the number of students present in a catch-up session.
 
Homework completion
  • I agree to complete home-study assignments (‘homework’).
  • I understand that the required home-study hours are 330 alongside the 120 classroom hours are needed to meet the full requirement of 450 hours overall as set out in the UK core curriculum for hypnotherapy training.
  • As such, I commit fully to meeting these requirements by completing all homework assignments and will do so in a timely manner as directed, completing and submitting each weekends homework before the start of the following course weekend.
  • I understand that all homework and case studies must be completed and submitted for marking before weekend 9 of the 10-weekend course.
  • I understand that all homework must be my own work and not a result of AI (whether directly produced or aided by).
  • I understand that all homework must be completed in order to be eligible to sit the exams, and that non-completion of homework will result in my not being allowed to sit the final exams, unless a formal extension is agreed.
 
Missing homework

I understand that if I do not complete/ submit all homework before weekend 9 and still wish to sit the exams, a late submission fee of £250 is applicable (outstanding homework must then be submitted within 6 months of the course completion date).

 
Missed exams and resits

I understand that ‘exam weekend catch-up’ sessions incur a larger fee

  • Saturday £150
  • Sunday £210
  • Both days £360

 

I understand that after taking the exams, any additional examination re-sits (excluding the first resit that is free of charge, if taken within the course weekend) will also be at additional cost. These costs being:

  • Short question paper exam: £120
  • Case study paper exam: £150
  • Practical exam: £210.

 

Course completion

I understand that HypnoTC have a ‘no deferral’ policy, as such, all course materials and examinations must be completed within the time frame of the course that I have signed up for.

 
Certification
  • I understand that the HypnoTC Professional Hypnotherapy Diploma certification and the NGH certification will only be awarded to those students who have covered all of the course material in full, completed all homework to a satisfactory level prior to the end of the course and passed all examinations to the required level.
  • I also understand that the level 4 HPD certification is subject to the same conditions in addition to the successful completion of the NCH’s HPD portfolio, which can be submitted up to 9 months and any corrections submitted within 10 months, post-qualification.
  • I understand that when awarded, I may collect my HPD certificate during any teaching weekend (at an agreed time), or may have it posted to me (£10 UK, £25 International).
  • I understand that if I need a replacement copy of my certificate, I can:
    • HPD: Directly ask the NGH (ngh.net)
    • NGH: Directly ask the NCH (hypnotherapists.org.uk)
    • HypnoTC Diploma: Pay £25 reprint fee and postage (£15 UK, £25 international).
 
Missing course notes

I understand that replacement of training materials will incur a fee (£25+ £10 postage UK, £25 international, per weekend).

 
Provision of course materials
  • I understand that course materials are provided on a weekend-by-weekend basis, or at ‘catch-up’ sessions (for missed days/ weekends), and training materials are only provided for students who have attended the required training weekend/ catch-up sessions.
  • I understand that all training materials (written and verbal) are not to be copied, reproduced or transmitted in any form or by any means, electronic or mechanical, including photocopying, recording, or by any information storage and retrieval system without the express written permission of a director of HypnoTC Ltd.
  • I understand that the HypnoTC course manual is not and will never be available in electronic (PDF) format.
  • I agree that I will not use or distribute these materials in any way and that they will remain solely for my own personal use.
  • I agree that I will not use these course materials to teach hypnotherapy, whether within my own business or another.
 
Personal image
  • I understand and grant my consent to be filmed, photographed and otherwise documented by HypnoTC tutors/ associates for the duration of the course.
  • I grant HypnoTC full permission to use any materials (including my likeness) generated in this way for any use, including but not limited to commercial distribution, advertising, and other promotional avenues. I agree to give all permissions required, including the waiver of moral rights, to copy, exhibit, transmit, and broadcast my contribution including my image without time limit in all countries in the world by all means and, in all media and formats.
  • I hereby agree that I will not be entitled to any deferred remuneration or royalties of any kind.
  • I release HypnoTC from any claims and demands arising out of the use of the aforementioned material(s) including claims of defamation.
 
Communication
  • I understand that HypnoTC may communicate with me by text, phone or email, via Google classrooms, or within a WhatsApp group.
  • I understand that HypnoTC will be creating a ‘WhatsApp’ group for all students of this course and will be using my phone number that I provided upon signing up to do so. I understand that I am free to leave this group at any point of my choosing.
 
Conduct
  • I agree that as a student I shall respect other students, staff, facilities, equipment and resources.
  • I understand that staff should be treated respectfully. Any abusive and disruptive behaviour towards staff will not be tolerated and could result in my access to the classroom setting, students and staff being withdrawn.
  • I agree to behave with care and consideration of others throughout the entirety of the course, and understand that I will be removed from the course without refund if my conduct is deemed inappropriate.
  • I understand that HypnoTC operates a ‘three strikes’ system, where, after three conduct offenses, the offender is immediately removed from the course.
  • I understand that I may not be formally notified of a ‘strike’ against my name, and that clarification will be provided upon removal from the course.
 
Online resources

I understand that I am given access to online student resources, including the Student Learning Centre, for the duration of the course and that these resources are solely for my use. I confirm that I will not copy, record or interfere with these recordings. I also will not share the associated passwords.

 
Online communication and groups

I commit to maintaining good conduct in Facebook and WhatsApp groups and commit to not posting anything that could be deemed offensive. I understand that any inappropriate material will be removed and will count as a 1 strike warning.

 
Personal data

I agree to the processing of my personal data in accordance with the HypnoTC Privacy Policy on the HypnoTC website.

 
Applicable policies

I accept that I have responsibilities under HypnoTC’s policies that relate to this course, including:

  • Covid Classroom policy
  • Student Conduct and Classroom Etiquette policy
 
Student declaration

I declare that, to the best of my knowledge, the information I have provided whilst enrolling is correct and that should my circumstances change, I will notify HypnoTC immediately.

I confirm to the best of my knowledge that all information provided in this declaration is correct.

I understand that my enrolment with HypnoTC may be terminated if I am found to have made false statements, omitted significant information or provided counterfeit/ forged documents in my application/ enrolment process.

I confirm that any required deviation to this declaration is to be arranged promptly and directly with a HypnoTC representative (tutor) and a written amendment is to be agreed and signed by both parties.
